Club Rules for 2023-24 Season HIGHCLIFFE & INFINITY PHOTOGRAPHY CLUB COMPETITION RULES

1.0 GENERAL CONDITION S FOR ALL COMPETITIONS Only fully paid-up Members of Highcliffe & Infinity Photography Club may take part in competitions. Any photographic image is only eligible to be entered in one internal club competition during the season, plus The Norrie Phillips Trophy and the Best of Year. Images used in any previous year’s competitions cannot be re-used. Members agree that their images may be used on our website and in inter-club competitions and also may be chosen to represent the Club in external competitions. Copyright always remains with the author. H&IPC is an active member Club of the Southern Counties Photographic Federation and takes part in their League, Championship and inter-Federation Competitions. Members who are members of other photographic clubs must ensure that any image of theirs used by H&IPC in SCPF League or inter-Federation competitions is not used in the same Federation competitions by their other Club(s). Similarly, Members must inform the External Competitions Secretary of any image of theirs that is likely to be or has been used by their other club(s) in the same Federation competitions, regardless of SCPF League, so that it may be excluded from our entries. Members may request that their images submitted for competitions be critiqued only and not given a score. The Member must inform the Internal Competition Secretary of their request at the time of submitting their image(s).

2.0 OWNERSHIP All images and their component parts must be the original work of the entrant, be photographed by them, and the copyright held by them. The use of stock images or any element which derives from an image which is not photographed by the entrant is not allowed. The Committee retains the right to view the original image files. Images created using AI are not allowed, I.E. all pixels must be the photographers

3.0 Changes for 2023-2024 Season This season we will be having 11 competition evenings which will consist of both a PDI and a Print competition on the same evening, except when it is a Competition with a Trophy awarded, as on those evenings we will only have that one competition. Members will only be allowed to submit 3 images on each evening. This can be 3 Prints and 0 PDI’s, 3 PDI’s and 0 Prints or 3 entries spread across the PDI and Print competitions. This limit of 3 entries on the night also applies on nights where we are only holding one competition. All images to be submitted online via the Photoentry website https://photoentry.uk/ All members have been provided with the login details, if this is not the case, please contact Tim Rosier if you are having problems.

4.0 PRESENTATION

4.1 PRINTS Prints must be mounted on board or card with a maximum mount size of 500mm x 400mm, with the entry number, print title and author’s name clearly marked on the back. The entry number must be positioned in the top left-hand corner of the back. All prints must be supplied in electronic format into the Photoentry system.

4.2 DIGITAL PROJECTION IMAGES PREPARATION Files must be in JPG format, and in the SRGB Colourspace. The image must fit within a rectangle that is 1600 pixels wide by 1200 pixels high (max) in JPEG format only, and the colour space must be sRGB. It has been found that applying a narrow white stroke line of 1-2 pixels around the image works well. There is no need to put smaller images on a 1600x1200 black canvas any more.

4.3 COLOUR\B&W With the exception of entries for the Monochrome Cup, all images may be either colour or monochrome unless otherwise advised by the Chairman.

5.0 JUDGING All competitions will be independently judged whenever possible. Prints and images for digital projection will be judged as separate categories This year we have tweaked the scoring system as below:

All Images Entered will receive 10 Points Commended

(Held Back) will receive 16 Points

Highly Commended will receive 17 Points

Third Place will receive 18 Points

Second Place will receive 19 Points

First Place will receive 20 Points

The judge will have the discretion of having multiple Highly Commended, but will only be able to chose one Third, Second and First

6.0 SUBMISSION OF ENTRIES Submitting a JPEG of your print by Photoentry is required no later than Friday at midnight the week before the actual competition In Photoentry, Enter the file name that you want displayed in the competition in the box titled Entry Title e.g. ‘Snowy Mountain’ One important change this year: Please enter your images into Photoentry in the order that you would like them to be used in competitions. I.E. if we have to many images entered for a particular competition we may remove your last submitted image. Please note if you do change your mind you can change the order of your images by using the blue up and down arrows on the left of the image in Photoentry. To reemphasize your image numbered 3 is the one that may be culled. Prints must be handed in no later than 7.20pm on the night of the competition - the Internal Submitting Competition Secretary has the right to refuse late entries.

7.0 LEAGUE COMPETITIONS

7.1 ORGANISATION League competitions will be held in two categories throughout the season: Prints and Digitally Projected Images. The Digital Projection League will consist of 6 Competitions: Three Open Competitions with no set subject: Landscape – the winner will receive the Landscape Trophy: Set Subject - the winner will receive the Set Subject Trophy: Wildlife - the winner will receive the Wildlife Trophy: Landscape - the winner will receive the Landscape Trophy: Flora - the winner will receive the Flora Trophy: NB. The Wildlife and Flora Competitions are combined into a single League competition score. The Print League will consist of 6 Competitions: Three Open Competitions with no set subject: Monochrome - the winner will receive the Monochrome Trophy: Portrait - the winner will receive the Portrait Trophy: Three of a Kind - the winner will receive a trophy for the best themed panel.

7.2 ENTRIES Each member may submit up to three entries for each competition evening. Unless otherwise stated (see rules for each competition) there is no age-limit for entered images but they must not have been entered in any previous league competition. The Competition Secretary reserves the right to see the original image from camera.

7.3 LANDSCAPE COMPETITION This is a digital projection competition with Landscape as its set subject. Members may enter up to three images. The winner will receive the Landscape Trophy. This is an open landscape competition and images may be photographed anywhere in the world. There is no clear definition of what landscape photography is but most photographers will agree it is outdoor images without any humans or animals in the image. If there are any living creatures in a landscape image, then they must not dominate but be intentionally included to show a sense of scale to the image. For this competition there is no restriction on what constitutes a ‘landscape ’ image. It may comprise landscape, seascape, cityscape, industrial landscape, close-ups of elements in a landscape, etc.

7.4 SET SUBJECT COMPETITION This is a digital projection competition with the subject to be chosen by club members at the Annual General Meeting. Members may enter up to three images which must have been photographed since the setting of the subject at the previous AGM. Images must not have been used in previous League competitions and cannot be entered in later League competitions, except Best of Year in the same year.

7.5 WILDLIFE AND FLORA COMPETITIONS These competitions are digital projection set subject competitions.

7.5.1 The Flora Competition is for Flowers, Plant Life, Cactus and Fungi as found in nature or as a table top subject.

7.5.2 The Wildlife competition is for wildlife that is normally found in the wild i.e. not domesticated. New Forest ponies are considered domestic. Photographs containing only plant subjects will not be eligible but photographs containing Insect(s) or small animals as the main subject will be eligible. It is permissible for the photographed subject to have been in captivity, provided there is no evidence of mankind in the picture. Wildlife photographs must basically ‘straight from the camera’. A small amount of editing is allowed such as cropping The Wildlife and Flora Competitions together count as a single league Competition. Each member may submit a total of up to three entries, which may be entered in the two competitions in any combination

7.6 MONOCHROME COMPETITION Each member may enter up to three monochrome prints. There is no prescribed subject.

7.7 PORTRAIT COMPETITION This is a print competition. Members may enter three images. A portrait is the representation of a person in which the face and its expression is predominant, with the intention of displaying the likeness, personality and even the mood of the person.

7.9 BEST OF YEAR COMPETITION This competition will be held in both categories Prints and Digital Projection (DPI) categories. Each member may submit a maximum of three entries, which may be divided between the two categories in any way. The images must be displayed as previously presented and cannot be changed in any way - but if the image has been used in a Set Subject competition and the title would appear slightly odd it may be retitled These entries must have appeared in an Internal Club Competition during the current year. Prints from the ‘Set of Three ’print competition may be used, but individual images from a ‘Set of Three ’ print used in the ‘Set of Three ’print competition cannot be used in either the Print or the DPI categories.

8.0 NON-LEAGUE TROPHIES 8.1 THE CHAIRMANS CUP This trophy will be awarded at the discretion of the Chairman to the best 'Improver' of the year, i.e. the club member whose work reflected by competition scoring has shown enthusiasm, effort and progression.

9.0 FINALLY The competition rules cannot be expected to cover every eventuality and it is expected that members will endeavor to adhere to the spirit as well as the letter of the Rules.
